The Climate Change Task Force (CCTF) ("we," "us," or "our") is committed to protecting your privacy and ensuring the security of your personal information. As a multi-sectoral body established to coordinate and monitor climate strategies, we value the trust of our volunteers and officers. This Privacy Policy explains how we collect, use, and share your information when you register at www.cc-taskforce.org to join the Climate Officer Corps or Volunteer Brigade. By using our website, you consent to the data practices described in this policy.

2. Information We Collect

To facilitate your registration, background verification, and deployment as a Climate Officer or Volunteer, we collect the following types of information:

A. Personal Information

When you create an account, we collect:

  • Full Name
  • Date of Birth (To verify age eligibility)
  • Physical Address (For assigning you to the correct Local or Area Command)
  • Email Address
  • Headshot/Photo (Required for the issuance of the official Member Identification Card)

B. Professional and Sensitive Information

To verify your rank qualifications (e.g., for District Climate Commander or Chief Climate Officer positions) and ensure operational security, we collect:

  • Professional License Numbers (PRC IDs for engineers, lawyers, environmental planners, etc.)
  • Government-issued Clearances (NBI Clearance, Police Clearance, or other valid Government IDs)

C. Digital Data

  • Login Credentials: Username and encrypted password.
  • Usage Data: We may collect data on how you access the site.
  • While we do not currently use third-party tracking cookies, we reserve the right to implement analytics tools in the future to improve our digital services.

3. How We Use Your Information

Your data is processed by the Director for Personnel Management and the Director for Records and Administration for the following purposes:

  1. Membership Verification: To validate your identity, qualifications, and eligibility for specific ranks (e.g., confirming degrees or licenses for Officer ranks).
  2. Background Checks: To review submitted clearances and ensuring all members meet the ethical standards and security requirements of the CCTF.
  3. ID Issuance: To generate your unique Member Identification Number (MIN) and official ID card signed by the Director General.
  4. Operational Deployment: To coordinate your assignment to specific Regional, Provincial, or Local Commands based on your residence.
  5. Communication: To send you official orders, newsletters, and mission alerts (e.g., tree planting or disaster response calls).

4. Data Sharing and Disclosure

We treat your personal data with strict confidentiality. However, per CCTF operational mandates, limited data may be disclosed to the following:

  • Partner Agencies: We may share necessary data with government bodies (e.g., LGUs, DENR) or partner NGOs for the purpose of operational coordination and joint missions. All sharing is subject to review and strictly limited to what is necessary for the mission.
  • Legal Requirements: We may disclose information if required by law or to protect the rights and safety of the CCTF, its members, or the public.

5. Data Storage and Security

We implement strict security measures to protect your data:

  • Secure Database: Your sensitive documents (clearances, IDs) are stored in a secure database accessible only to authorized personnel within the Personnel Management Directorate for validity checking.
  • Data Protection Protocols: In accordance with our By-laws, we integrate comprehensive data privacy and cybersecurity protocols to safeguard sensitive climate and member data.

6. Retention of Data

We retain your personal information only for as long as necessary to fulfill the purposes set out in this policy.

  • Active Members: Data is retained for the duration of your service.
  • Inactive/Deleted Accounts: If you choose to delete your account, we will retain your records for a specific period (30 days) for administrative processing by the Records and Archives Division before permanent deletion, unless a longer retention period is required by law.

7. Age Limitation

Registration on this website is strictly limited to individuals 18 years of age and older.

  • While the CCTF includes a Climate Change Youth Brigade for younger participants, online registration on this platform is reserved for adults.
  • If we discover that a user is under 18, we will immediately delete their account and associated data.

8. Your Rights

Under the Data Privacy Act, you have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of any inaccurate or incomplete data.
  • Erasure: Request the deletion of your personal data, subject to our retention policies.
  • Objection: Object to the processing of your personal data for specific purposes.
